If you booked via an OTA (Booking.com, Airbnb, Expedia, etc.), the OTA's terms apply. Contact them directly. For all other guests, by making a booking you accept these terms. Cancellation requests: Online Form Only.

Quick Start Summary

  • Deposit & Payment (Standard Rates)
    • 7+ days before arrival: 50% deposit at booking; balance charged 8 days prior.
    • <7 days before arrival: 100% charged at booking (non-refundable).
    • Card payments incur a 2% surcharge.
  • Cancel (Standard Rates)
    • 15+ days: retain 10% or 1 night (whichever higher).
    • 8–14 days: retain 50% or 1 night (whichever higher).
    • Within 7 days: 100% non-refundable.
  • Amend (Standard Rates)
    • 15+ days (outside Snow Season): free if available and like-for-like.
    • 8–14 days: $50 or 10% of total tariff or 1st night (whichever higher).
    • <7 days: cannot amend.
    • Snow Season: no free amendments; stricter rules apply (see below).
  • Security Bond (Cabins): $100
    • Refunded 7–14 days after departure if no issues.
  • Check-in/Check-out
    • Check-in from 3 PM; check-out by 10 AM.
    • Early check-in (before 1 PM): $30 | Late checkout (until midday): $30.
    • Quiet hours: 10 PM to 6 AM.

OTA Bookings (Booking.com, Airbnb, Expedia, etc.)

If you booked via an Online Travel Agent (OTA), contact the OTA directly for any changes or cancellations. The OTA's terms apply and they process any charges or refunds. We cannot alter or refund OTA bookings.


Age Restrictions & Parental Consent

The lead guest booking accommodation must be 18 years or older at check-in. Guests under 18 must be accompanied by a parent or legal guardian throughout their stay.

If a minor (under 18) is staying without their parent/guardian present, we require written consent via email from the parent/guardian prior to arrival. The consent must include:

  • Full name and contact details of the parent/guardian
  • Confirmation they authorize the minor to stay
  • Name of the responsible adult (18+) supervising the minor
  • Acknowledgment of these Terms & Conditions

We reserve the right to refuse check-in or cancel bookings without refund if proper consent is not provided.


Deposit & Payment – Standard Rates

  • 7+ days before arrival: 50% deposit at booking; balance charged 8 days prior.
  • <7 days before arrival: full payment at booking.
  • If the balance payment fails, you have 24 hours to resolve or the booking may cancel and amounts paid may be forfeited.
  • Card payments surcharge: 2%.
  • Promotional/discounted/stay-and-save rates: full payment at booking; no changes or refunds.

Minimum Stay Requirements

  • Winter weekends: 2-night minimum applies on weekends during Winter (June–September) for all stays (Fri–Sun).
  • 20 Dec – 5 Jan: 3-night minimum.
  • Easter & NSW winter school holidays: 2-night minimum.

Snow Season definition: From the June Long Weekend through 30 September. "Weekend" means any stay that includes a Friday, Saturday, or Sunday night.


Cancellation Policy – Standard Rates

  • 15+ days before arrival: retain 10% of total booking or one night (whichever higher); refund the balance to the original payment method.
  • 8–14 days before arrival: retain 50% of total booking or one night (whichever higher); refund the balance.
  • Within 7 days of arrival: 100% non-refundable.

Refund timing: Approved refunds are processed within 7 business days to the original payment method. Promotional/discounted/stay-and-save rates: no refunds.


Amendment Policy – Standard Rates

How to request: Submit all cancellation/amendment requests via our online form only. Submitting the form does not confirm changes; it only records your request. Your booking remains under the same policy until you receive our written confirmation with fees and new dates.

Outside Snow Season (Oct – early Jun)

  • 15+ days: like-for-like amendment (same rate type & accommodation) is free if available.
  • 8–14 days: transfer fee of $50 or 10% of total tariff or 1st night (whichever higher).
  • <7 days: bookings cannot be amended.
  • Bookings cannot be changed in a way that reduces booking value or stay length. Any amendment that results in a lower total booking value or shorter stay duration will be treated as a cancellation and subject to the cancellation policy fees above.

Snow Season (June Long Weekend – 30 Sept)

No free amendments at any time.

  • Date moves allowed only within the same Snow Season, subject to availability, and incur a transfer fee of $50 or 10% of total tariff or 1st night (whichever higher).
  • No amendments within 14 days of arrival.
  • Bookings cannot be moved to a different season or the following year.
  • Bookings cannot be changed in a way that reduces booking value or stay length. Any amendment that results in a lower total booking value or shorter stay duration will be treated as a cancellation and subject to the cancellation policy fees above.
  • Chalets & Cabins: Saturday check-in/out not permitted during Snow Season.

Promotional/discounted/stay-and-save rates: no amendments.


Security Bond

Cabins: A standard $100 bond is taken at check-in. Refunded within 7–14 days if there is no damage, excessive cleaning, missing items, policy breaches, or unpaid charges. We may retain the bond and invoice any excess.


Occupancy & Guest Count

Maximum occupancy includes all guests (adults, children 2–15, and infants under 2). Infants are free but count toward the limit. Unapproved extra guests or exceeding limits may result in charges and/or eviction without refund.


Parking & Vehicles

One vehicle per site/cabin is included. Additional vehicles are $20/night and must be registered at reception upon check-in.

Vehicle Registration:

  • All vehicles must be registered at the office during check-in
  • Provide vehicle make, model, color, and registration number
  • Coming soon: Automated boom gate entry system – only registered vehicles will be granted access

Parking Rules:

  • Park only in designated areas for your site/cabin
  • Speed limit: 10 km/h throughout the park
  • Oversized or unroadworthy vehicles require prior approval

Health, Safety & Hygiene

Follow government and park protocols. Visibly ill guests may be required to leave at their own cost. No smoking/vaping indoors. Guests must provide emergency contact details at check-in.


Check-In & Check-Out

Standard Times:

  • Check-in: from 3:00 PM
  • Check-out: by 10:00 AM

Early Check-In / Late Checkout:

Subject to availability, guests may request:

  • Early check-in (before 1:00 PM): $30 fee
  • Late checkout (until 12:00 PM/midday): $30 fee

Requests must be made at least 24 hours in advance and are not guaranteed. Contact reception to arrange.

Late Departure Penalties:

  • Failing to vacate by 10:00 AM without prior arrangement incurs an automatic day charge.
  • After 12:00 PM, you will be charged for an additional night.
  • If the site/cabin is booked for incoming guests and you have not vacated, you will be charged and asked to leave immediately.

Checkout Condition:

  • Please leave your cabin/site in the same clean condition as you found it
  • Remove all rubbish and place in designated bins
  • Wash and return all dishes and utensils
  • Report any damage or issues to reception
  • Excessive mess or cleaning required may result in additional charges deducted from your security bond

Firewood Policy

Enjoy authentic campfire experiences while helping us protect Kosciuszko National Park through our Sustainable Firewood Program.

Purchase Quality Firewood On-Site:

  • Premium seasoned firewood: $20 per bag – ready to burn, no hassle
  • Available at reception during office hours
  • Your purchase directly supports: firepit maintenance, ash disposal, safety inspections, park conservation, and local businesses

Important Legal Requirements:

  • Collecting or burning timber from Kosciuszko National Park is illegal under the National Parks and Wildlife Act and carries substantial fines
  • Use only designated firepits – do not create new firepits
  • Never leave fires unattended and ensure fires are completely extinguished before leaving

Fire Restrictions:

  • During total fire bans or extreme fire danger (typically November–April), all firepits are closed
  • Guests must check current fire restrictions at www.rfs.nsw.gov.au before lighting any fires
  • Breaches may result in fines, eviction, and liability for firefighting costs

Wi-Fi & Mobile Coverage

Mobile Coverage: We have excellent Telstra mobile coverage thanks to an on-site Telstra tower. Other carriers may have limited or no coverage in the alpine region.

Wi-Fi Access: While our mobile coverage is strong, we do not have fiber internet to the park. Our Wi-Fi relies on satellite and limited backhaul links shared across all guests. To maintain fair usage and service quality, Wi-Fi is provided via low-cost paid vouchers available at reception. Speeds may vary during peak times.


Quiet Hours

To ensure all guests enjoy a peaceful stay, quiet hours are 10:00 PM to 6:00 AM.

During quiet hours, please:

  • Keep noise to a minimum – no loud music, voices, or generators
  • Respect neighboring guests
  • Minimize vehicle movements

Breaches of quiet hours may result in:

  • First offense: Warning
  • Second offense: $300 fine
  • Continued breaches: Eviction without refund

Damage & Responsibility

You are responsible for damage, loss, excessive cleaning, or missing items. The bond may be used toward costs; any excess will be invoiced.


CCTV & Security

CCTV operates in public areas for safety and security. By staying, you consent to CCTV monitoring. We are not liable for third-party acts or theft of personal belongings.


Privacy & Personal Data

Your data is handled per our Privacy Policy and used for bookings, security, and (opt-in) marketing. We do not share data except as required by law.


Use of Park Facilities

Please follow all signs and staff directions. Use facilities at your own risk.

Camp Kitchen Fridge:

  • Label all food items with your name and departure date
  • Unlabeled food will be thrown away without notice
  • Please remove your items upon checkout

Damage to facilities may be charged and deducted from your security bond.


Liability for Personal Belongings

We are not responsible for loss, theft, or damage of personal items. Please secure valuables appropriately.

Lost and Found:

  • Perishable items (food, beverages) are disposed of immediately for health and safety reasons
  • Non-perishable items (clothing, equipment, personal effects) are held at reception for 7 days
  • Unclaimed items after 7 days are donated to local charities
  • We are not responsible for items left behind – please check your accommodation thoroughly before departure

Pets

As Kosciuszko Tourist Park is located within Kosciuszko National Park, pets are strictly prohibited in all accommodation facilities and throughout the park grounds in accordance with National Parks and Wildlife Service regulations. This policy is in place to protect the park's sensitive alpine ecosystems and native wildlife. Breach of this policy may result in immediate cancellation, removal from the premises, and forfeiture of all monies paid including the security bond.


National Park Compliance

Kosciuszko Tourist Park operates within Kosciuszko National Park, a protected area under the National Parks and Wildlife Act 1974 (NSW).

Guest Obligations:

By staying with us, you agree to:

  • Comply with all NSW National Parks and Wildlife Service (NPWS) regulations
  • Respect and protect native flora, fauna, and natural features
  • Not feed, harass, or disturb wildlife
  • Not remove or damage any plants, rocks, or natural materials
  • Report any damage to park property or infrastructure
  • Follow all park signage and ranger directions

Park Entry Fees:

  • Kosciuszko National Park charges vehicle entry fees (separate from accommodation charges)
  • These fees are the guest's responsibility and must be paid upon entering the park
  • Fees vary by season – check current rates and purchase passes at: www.nationalparks.nsw.gov.au
  • Annual and multi-day passes are available for frequent visitors

Violations:

Breaches of National Park regulations may result in:

  • Fines issued by NPWS rangers (separate from our policies)
  • Eviction from the park without refund
  • Legal action by NPWS

We take our responsibility as stewards of this protected environment seriously and expect all guests to do the same.


Weather, Natural Events & Guest Preparedness

Weather Conditions:

Guests acknowledge that Kosciuszko Tourist Park is located in an alpine environment subject to extreme and unpredictable weather conditions including rain, snow, wind, and temperature fluctuations.

  • We are not liable for weather conditions affecting your stay, comfort, or ability to use facilities
  • No refunds will be provided for rain, snow, cold weather, or adverse conditions that impact camping or outdoor activities
  • Guests are responsible for bringing appropriate gear, clothing, and equipment for all weather conditions
  • Tent and camping guests must come prepared with waterproof equipment, warm clothing, and suitable camping gear

Bushfire & Natural Disasters:

  • In the event of bushfire-related evacuations, emergency road closures, or natural disasters (floods, storms, etc.), we are not liable and no refunds will be provided
  • Guest safety is our priority; we will follow all emergency service directives
  • Guests must evacuate immediately if directed by authorities
  • We reserve the right to close the park without notice during emergency situations
  • Travel insurance is strongly recommended to cover unforeseen circumstances

National Park Access:

  • Kosciuszko Road and Alpine Way may close temporarily due to weather, fire risk, or emergency conditions
  • Check road conditions and NPWS alerts before traveling: www.nationalparks.nsw.gov.au
  • We will assist guests with information about road conditions when possible, but cannot be held responsible for access disruptions beyond our control

Events Beyond Our Control (Force Majeure):

  • We are not liable for events beyond our reasonable control including fires, floods, earthquakes, pandemics, government orders, or emergency closures
  • At our discretion, we may offer a refund, credit, or alternative dates
  • We accept no liability for consequential losses, travel expenses, or other costs incurred
  • This is why we strongly recommend comprehensive travel insurance for all bookings

Reservation Transfer

Bookings are non-transferable without our prior written approval. The named guest must be present at check-in with valid photo identification.


Guest Safety & Alpine Environment Information

Kosciuszko Tourist Park is located in a beautiful alpine environment that offers incredible outdoor experiences. We want you to have a safe and enjoyable stay, so please be aware of the following:

Alpine Environment Characteristics:

  • Weather: Conditions can change rapidly – temperature, wind, rain, and snow can occur year-round
  • Terrain: Natural walking paths may include uneven surfaces, rocks, and steep areas
  • Wildlife: You may encounter native animals, snakes, and insects – observe from a distance, do not feed or approach
  • Medical Services: Due to alpine terrain, the nearest hospital is Cooma (approximately 60km away)

What We Provide:

  • Well-maintained facilities and accommodations
  • Clear signage throughout the park
  • Emergency contact information at reception
  • Staff assistance during office hours

Guest Responsibility:

While we maintain our facilities to high standards, guests are responsible for their own safety when participating in outdoor activities such as hiking, cycling, water activities, or exploring the National Park. We recommend appropriate clothing, footwear, and equipment for alpine conditions.

Emergency Services: In case of emergency, dial 000. Our on-site Telstra tower ensures reliable mobile coverage for emergency calls.

We recommend comprehensive travel insurance for all guests. This does not exclude rights under Australian Consumer Law that cannot be excluded.


Governing Law & Dispute Resolution

These Terms are governed by the laws of New South Wales, Australia. Please contact us first to resolve any issue. If unresolved within 14 days, you may contact NSW Fair Trading. Any disputes are subject to the exclusive jurisdiction of NSW courts.
